Almost every business starts its inventory in Excel. And honestly, that’s fine. Excel is free, everyone knows it, and in the beginning it does the job.
Then the business grows.
One day the sheet says 40 pieces in stock, but the shelf has 28. Nobody knows where the other 12 went. Two staff members edited the same file and one person’s work got overwritten. A customer orders something that “was available,” and you find out it isn’t.
If that sounds familiar, this post is for you.
Signs Excel is costing you money
1. Stock in the sheet doesn’t match stock on the shelf
Small differences every month add up to serious losses: lost items, wrong orders, dead stock.
2. More than one person updates the file
Versions get mixed up, formulas break, and “final_stock_v3_new.xlsx” becomes a running joke.
3. You run out of best-sellers without warning
Excel doesn’t tell you when to reorder unless someone checks every day.
4. You have more than one location
A shop and a godown. Two branches. Online and offline. Keeping all of that in sync in Excel is painful. Busy godowns eventually need warehouse management software.
5. Billing and stock are separate
You make a GST invoice in one place, then someone has to reduce the stock in Excel by hand. That’s where mistakes creep in.
6. You can’t answer simple questions quickly
“What sold most last month?” “How much money is stuck in stock that hasn’t moved in 90 days?” If that takes an hour to answer, you’re running blind.
Excel vs inventory software
| Excel | Inventory software | |
|---|---|---|
| Cost | Free | Monthly fee or one-time build |
| Real-time stock | No, manual updates | Yes, updates with every sale and purchase |
| Multiple users | Messy | Built for it, with user permissions |
| Reorder alerts | No | Yes |
| Barcode scanning | No | Yes |
| GST billing connected | No | Yes, in most tools |
| Reports | Built manually | Automatic |
| Multiple locations | Very hard | Built in |
Your options
Ready-made software
India has plenty of options, from billing-plus-inventory apps used by small shops, to accounting software with inventory, to cloud tools like Zoho Inventory. They’re quick to start and usually charged monthly.
Custom inventory software
This makes sense when your business doesn’t fit a standard tool, for example:
- Manufacturers tracking raw material → work in progress → finished goods, which is what our inventory software for manufacturing is built for
- Restaurants deducting stock by recipe (“one paneer tikka = 200g paneer”), covered by our restaurant inventory software
- Businesses with their own workflows across warehouses, dealers or franchises
- Businesses that want inventory connected to their website, WhatsApp or CRM
Medical stores have one more layer, batch and expiry dates, handled by pharmacy software.
How to switch without chaos
- Clean your product list. One name and one code per item. No duplicates.
- Do a full physical count. Start the new system with real numbers, not old Excel numbers.
- Add barcodes if you have many items. It saves hours and removes mistakes.
- Train your staff, especially whoever does billing and receiving.
- Run both systems in parallel for 2 weeks, then switch off Excel completely.
- Set reorder levels for your top 20–30 products from day one.
When Excel is still fine
Stay with Excel if you have fewer than 50–100 products, one location, one person managing stock, and the numbers are still matching. Don’t buy software just because it sounds professional.
Frequently asked questions
Is there free inventory software in India?
Some tools have free plans with limits on products or users. They’re good for testing before you pay.
How much does custom inventory software cost?
It depends on modules and integrations. Simple systems are much cheaper than full ERP-style builds, so get a feature-wise quote.
Can inventory software create GST invoices?
Most Indian inventory tools include GST billing, or connect to your accounting software.
